
Human Resource Assistant

Position Summary: Responsible for successful maintenance, organizational and administrative operation of the human resource management and staff credentialing activities of the organization in accordance with current applicable federal, state and local standards, guidelines and regulatory compliance. Maximizes the strategic use of human resources and maintains functions such as employee compensation, recruitment and personnel policies.

20. Treats patients and their families with respect and dignity. Identifies and addresses psychosocial, cultural, ethnic and religious/spiritual need of patients and their families.
21. Adheres to safety guidelines and reports hazards or accidents/illnesses immediately to supervisor.
22. Minimizes waste of supplies, misuse of equipment and reports any knowledge thereof to supervisor.
23. Participates effectively in the orientation of new staff.
24. Cross trains for other positions as directed by supervisor or administrator.
25. Functions in an organized manner and plans work assignments to effectively use time.
26. Attends all mandatory training and educational programs to maintain necessary competency including but not limited to licensure and/or certification.
27. Keeps unscheduled absences (sick leave and emergencies) to a minimum and always verifies need.
28. Is willing to work beyond normal schedule when necessary.
29. Maintains an overall neat and clean appearance. Selects conservative dress styles reflective of the job while adhering to the dress guidelines established by the department.
30. Responds objectively and positively to changes occurring in the hospital and health care.
31. Performs other related duties and responsibilities as necessary or as directed by the supervisor or Hospital Administrator.
Supervisory Responsibilities:
1. Works with department managers to hire, supervise and terminate department personnel.
2. Monitor staff activity and productivity. Facilitates performance evaluation process annually for hospital staff.
3. Uses good judgment in making independent decisions when circumstances warrant such action.
4. Seeks out new methods and principles and is willing to incorporate them into existing practices.
5. Assists in developing and maintaining hospital human resource policies/procedures/position descriptions/standards and related documentation. Reviews at least annually and recommends changes.
6. Assures that department personnel maintain the departmental and hospital general policies and procedures at all times.
7. Interprets policies and procedures to personnel, patients, family members, etc. as necessary.
8. Maintains confidentiality of all pertinent patient care information to assure patient rights are protected. Assures staff does the same.
9. Grasps and understands business concepts and issues.
10. Assists in the development of the departmental budget. Maintains same.
11. Assists in the development of departmental goals. Coordinates with staff necessary steps to achieve same.
12. Makes decisions or takes action to solve a problem or reach a goal.
13. Assists in developing and participating in programs designed for in-service education and on the job training. Keeps accurate records of same.
14. Maintains an excellent working relationship with hospital medical staff, department directors and administration.
15. Evaluates and implements recommendations from the hospital’s committees including but not limited to Safety, Infection Control, Quality, etc.
16. Meets with and solicits advice from other department directors to correct problems areas and/or the improvement of services.
17. Represent the department by attending internal meetings as directed.
18. Attends and participates in workshops, seminars, etc. to keep abreast of current changes in the healthcare field, as well as to maintain a professional status.
19. Develops and maintains a working relationship with other health related facilities and organizations.
20. Maintains accurate statistical data and compile monthly reports for administration and/or medical staff as requested.
21. Assures the department is maintained in a clean and safe manner by assuring necessary equipment and supplies are maintained to perform such duties/service.
Position Specific Responsibilities:
1. Administer compensation, benefits and performance management systems and programs.
2. Analyze and modify compensation, benefits and other human resource related policies to establish competitive programs and ensure compliance with legal requirements.
3. Maintain employee handbook.
4. Provide non-job related employee orientation.
5. Identify staff vacancies, recruit and perform initial interviews.
6. Plan and facilitate new employee orientation to foster positive attitudes toward hospital objectives.
7. Conduct exit interviews.
8. Provide current and prospective employees with information about policies, job duties, working conditions, wages, and opportunities for development and employee benefits.
9. Assist department heads in performing difficult staffing duties, including dealing with understaffing, refereeing disputes, terminating employees and administering disciplinary procedures.
10. Advise and train supervisors on organizational policy matters such as ADA, sexual harassment, FMLA, etc. per state/federal guidelines.
11. Maintain personnel files.
12. Maintain independent contract staff files.
13. Facilitates the payroll process between department heads and management company.
14. Maintains payroll related files and reports.
15. Serve as a link between management and employees by handling questions and helping resolve work-related problems.
16. Plan, direct and coordinate work activities of staff relating to employment, compensation, and employee relations.
17. Analyze non-job related training needs and establish training programs for same.
18. Establish programs to foster positive attitudes towards hospital objectives.
19. Oversee the hospital’s employee education (scholarship) program.
20. Act as Sexual Harassment Officer for the hospital.
21. Givers oversight to the Community Scholarship Program.
22. Performs the staff credentialing process for the hospital.
23. Performs all other duties as requested and assigned.
Position Qualifications:
1. Bachelor degree in Human Resources, Business Administration or related. Or, equivalent in experience preferred.
2. Prior supervision experience preferred.
3. Three – five years experience in related field preferred.
4. Must possess typing skills and general computer experience.
5. Must have mathematical ability and be able to think and reason logically.
6. Must be able to read, write and speak the English language in an understandable manner.
7. Has verbal ability to understand oral and written instructions stated in medical terms and ability to communicate with exchange information with hospital staff and patients.
Physical Requirements:
1. Must be in good general health and demonstrate emotional stability.
2. Must possess sight/hearing/touch senses or the use of prosthetics that will enable these senses to function adequately so that the requirements of the position can be met.
3. Must be able to move intermittently throughout the work day.
4. Must be able to cope with the mental and emotional stress of the position.
Working Conditions:
1. Works in well lighted/ventilated areas.
2. May sit or stand for long periods.
3. Must be able to stoop, bend, lift and move intermittently during work hours.
4. Subject to frequent interruptions.
